How do I edit a data list in Word to include only fields I want to retain

The database list includes more data than I need to make an envelope address. I want to have only First Name, Last name, address, city, state, and zip code. I also want to eliminate duplicates.

  1. If the data list is a Word document, you should be able to edit it with Word just as you would any other Word document.

    If you're planning on using Word's Mail Merge to make those envelope addresses, I would advise against doing any more editing than you need to. Eliminating duplicates is worthwhile, but removing extra fields would be error-prone and could corrupt the file (as far as a mail-merge list would be concerned).  Extra fields are usually ignored in Mail Merges anyway.

    A tip:  Make a copy of the file and edit the copy.  That way, if you do something critical, you have the original to start over with.
