How can I keep everything

in order and under control with my limited resources?

I just would like to have everything where i can run it smoothly and have everything organized.

Any ideas?

  4. I'm an admin asst where I work. I handle city permits, phones, programming (custom software), pc repair, pc troubleshooting, dispatching quality inspectors, and whatever else gets tossed at me.

    I'm one of those people who can't stand having paper all over my desk. Here's how I keep everything under control:

    Outlook: Without it I would go insane. I use it for email, tasks/to-do lists, schedules, sticky notes, etc. I also have a section in set up with shortcuts to access my most frequently used locations, like my templates or permitting forms.

    3 letter boxes: Box 1 is for stuff to be done today. If it is empty I use it to hold completed portions of a project that I'm currently working on. Box 2 is for stuff that can wait for a day or two. Box 3 is for stuff that is ready to be filed.

    For repetitive stuff I do everyday (like dispatching mentioned above) I keep color coded binders containing the appropriate paperwork.

    Instead of having pre-printed forms for fax covers, memos, etc I have customized templates in MS Office that I use. I just type in the info and print. If it needs to be saved, it is printed to PDF format so noone can modify it later.

    The Desktop on my computer: I have it set to show my desktop icons on a toolbar (right click your taskbar go to "toolbars" and select desktop) and no icons on the desktop. I keep my desktop tool bar docked at the top of the screen set to "auto hide" and "keep on top". You have no idea how much frustration that saves when you have someone on the phone and have to access something VERY quickly. When you first see the desktop toolbar it shows up on your taskbar. I keep my taskbar locked so I had to unlock it and drag the desktop toolbar off of it. The icons will show up in a "box" with a red "X" button in the usual upper right corner after removing the desktop toolbar from the taskbar. The next part might take some trial and error but drag the box towards the top of the screen until it "docks". Right click and select "auto hide" and "Always on top". Re-lock your taskbar and you're good to go!
