  1. first you need to just apologize for what ever went wrong, then offer a refund, or replace what ever they are not happy with, then offer them like a discoount on their next purchase.


  2. Need more information to tailor an answer that would best help you... but from my experience... genuine apologies work the best.  Do not come across as patronizing or condencending or it will bite you in the butt.  

    Apologies are not always going to repair the relationship with the customer, they are often seeking to vent and receive restitution for their "inconvenience".  If in your power to do so, make sure they receive some type of an appeasment, then listen to them ***** until their out of breath.  Be sure to use statements like "I understand", "I would be upset too and I really do want to make this right with you."
