Olympus DSS Player Pro Woes!

Trouble is with DSS Player Pro Software - a companion software product, offered by Olympus for higher end digital voice recorders.
We are running version 4,8, 4.9, 4.10 of the software.
Each transcriptionist runs the DSS Player Pro application from a local installation.
All of the 'Folders', which contain that digital voice recorder files, which they need to transcribe into a MS Word Document, reside on a file server.
On occassion (too often), they can not play and listen to a recorded voice file.
All Files are in the .DSS format - a rather obscure format developed by Philips and Olympus.  It supports ver high compression and sound quality.  Thus, most likely the reason used on the voice recorders that we use - the DSS-4000 model.
When the transcriptionist enters the 'transcription module' they see a list of audio files.  Normally, the double click the file, it begins to play, and they type the digitally recorded voice file into a word processing document.
On occassion, double clicking the file results in a message indicating that the file is being typed.
I know this not to be true - typing is not yet started, let alone complete.
I cannot change the status of the file by using the Tools menu, found within the DSS player pro application. 
If I attempt to 'Change status', it results in the same message about the 'file being typed'.
The details properties of the file indicate transcribe status as 'Transcribing'.
The Author id is listed as 'DS4000' ???????
Please note, these file details are only available by exploring the file properties from within the DSS Player Pro application.  If the file properties are evaluated from the network server, there is no metadata field (at least that is visibile) which indicates a 'transcribing status', etc.
Obviously, these files have been corrupted in some manner and the 'transcrining status is incorrect.
  As an adminitrator of over 100 DSS-4000 devices, how can I correct this error.  I need to be able to transcribe these files that mistakenly are indicating that they are being typed - when they are not. I have many of them.
 
Any help is greatly appreciated.  I have many files in this state and do not know how to fix the error.  The 'change status" function is not working.
 
If we could figure out how to 'unlock' the file, or change the 'transcription status' I think we would be in good shape.  NOTE:: when I speak of unlocking the file, I am not speaking of removing a server level lock on the file.  I believe this is an application level, integrity checking mechanism, which has a bug, perhaps.

Are there any utilitiy programs, patches, etc. that can fix this?
