Question:

Someone was extremely rude to us, we are going to write a letter, how can I make this sound more professional?

To Whom It May Concern:

On Sunday, August 17, 2008, at 4:15 my boyfriend and I went through the Dairy Queen drive through. We ordered 3 items. When we got to the pickup window, right away the gentleman (wearing DQ hat and glasses) working was not very nice. When we pointed out that he gave us a small dipped cone, though he even asked when we ordered it what size we wanted and we said large but when we got to the window he denied ever asking, and was very rude when we were nicely trying to discuss it. We said that’s ok, and he proceeded to slam the drive through window shut as we drove away. We have looked highly upon this restraint since it has been there, but when you have employees who have customer service skills like that, it reflects badly on your restraint and really makes us not want to come back.

  1. just deal with it.  you were at dairy queen.  it's hard to find good help these days.

    Really though....you might want to check your spelling and grammar. Change "restraint" to restaurant. You have a lot of run on sentences.

    Example of proper sentence structure;

    "He asked us what size cone we'd like and I said large. When we got to the window however he gave us a small. We pointed out that we had ordered a large and that he had asked us what size we wanted. He was very rude and denied even asking us what size we wanted."

    Before sending the letter, or in addition to sending it, you might also want to go talk to the manager of the Dairy Queen.

    I've never written a letter to any restaurant, business, or otherwise in regards to a complaint. I'll usually just leave quietly and never come back.

    Time is more valuable than money. The time you've wasted waiting to speak to a manager, or finding the address to their corporate office can be spent enjoying life, or doing much better things.

    You may actually get a better response if you actually SENT the letter to Dairy Queen instead of posting it anonymously on the Internet

    To Whom it may Concern:

       On 8/17/08 So-and-so and I ordered 3 items from the drive through at your Dairy Queen restaurant at <address>.  The time was about "---". The uniformed server at the drive-up window was unkind.  We were given the wrong size dipped cone.  When we attempted to clarify the order, repeating that he asked us and we responded which size we wanted, he denied that he'd asked us which size. His tone was rude, though we clearly were speaking in a polite manner.  We gave up our attempt at reasoning with him, and heard him slam the window hard as we drove away.

       We've enjoyed doing business with this restaurant for a long time, but staff behaving this way gives us cause to consider eating elsewhere.  We hope a talk with this person will make the difference.

    i found that a little confusing^^ i would word it like this to clarify your complaint.

    When gentleman gave us a small dipped cone, although we ordered a large, we figured it was an innocent mistake and politely pointed out the error. He denied ever asking what size we would like, and didn't replace our cone. We told him it was ok, and he proceeded to slam the drive through window shut as we drove away. We found this extremely rude, considering we were nicely trying to discuss the issue.

    also put in which dairy queen and the name of the worker if you caught it.


  10. I would just let it go..lol. If you get this caught up because of stupid people then you will have issues in life. I moved from NH to FL about a year ago and my BF and I deal with people like that on a daily basis..bc people down here are just so rude. And I used to feel the need to straighten people out until I realized- People don't change, they are stuck in their ways.

    If you write a letter you might get like a ten dollar gift card at the most. Nobody will really care unfortunately because they usually protect their employers AND they don't want to admit to it. So i would suggest to just let it go.  

  11. Your letter will end up in the trash with the management laughing at you for wasting your time complaining about some minimum wage soda jerk. This is one of those letters you write to make yourself feel better, then throw it in the trash so you don't embarrass yourself.
