Our department is assigned to establish a product specification file. It's a file wherein all the data for the entire production of a certain job is inputted. It contains production rates, scrap, product mixture, and other items that are involved in the production of that certain job.

  1. It's exactly that!  You make a list of all the jobs that people perform to make the product, the time it takes each person to do each job, the possible production in each step (which shows bottlenecks), the resources they use, the supplies they consume, and the supplies and time used that cost money, but don't add to the product (such as scrap material and time spent standing waiting for a report to print).  And the total production level, which should be the same speed as the slowest step.  Just detail each step of the job.

List it as step A, step B, etc, with the production specification data for each step within each step.  Usually, you will also create a diagram of the steps with the step ID, time to complete the step, and next step in each of the steps' shapes.

It's usually the first step in process engineering, so you may think about meeting with coworkers and determining how the process could be improved and creating a diagram for that as well.  It shows initiative and may impress management!
