What is a file index?

I am doing a module for my traineeship named " process and maintain workplace information" can someone please give me a good answer.

  1. Similar to the index of a book...it organizes the information in file folders and subfolders to make items easier to locate or find when necessary in future.  ie..you could have a file folder for welders, one for machine operators one for milwrights etc and under each one you could have a folder for each employee....under milwrights you could have folder for mike, tom and sue and under each employee they could have a copy of resumes, attendance records, training etc.  

    A lot of bigger companies are going to this sort of documenting by using the options of scanning records and items to eliminate large storage spaces of files and filing cabinates. One computer with a 500 gigabytes could store the equiv. of 200 filing cabinates.
