Writing a professional letter?

Well I will be doing national pageant and need some help asking for people/businesses to purchase ad spaces. I really need to sell over 6 pages because it would take almost 400$(total fee= 530$) of the original entry fee, I already have a 100$ discount by entering a prelim. I need to write a letter that I can send out to the people/businesses. i want it to be very professional. Any ideas on how I should go about doing this?

         I am going to put on a national pageant and was wondering if you would like to purchase an ad space. If you are interested you can contact me at the following:

             1. (your email)

             2. (your number)  (cell and home)

  2. To be honest, I don't think a business letter is the best way to go about selling display space. I think this calls for a direct conversation and/or sales presentation.

    I would suggest that you put together a list of all the names of people you wish to contact and see if you can get a hold of their phone numbers. Then call them directly.

    You will want to have a fact sheet in front of you, so make sure you have that ready. Your contacts will want to know some of the following details about the pageant and your program:

    - how many copies of the program are being printed?

    - where is the pageant being held; is it a local pageant

    - what is the demographic makeup of the people attending the pageant (I would assume that most are parents and family members)

    - what else do I receive in return for running an ad in your program (will I be listed among the pageant sponsors? Will I receive a certificate to display in my place of business showing that I was a sponsor? Will I receive free or discounted tickets to the pageant to use as I wish?)

    - Can I purchase more than one ad?

    - Are all the ads the same size?

    - Can I purchase a full page ad?

    - Must I provide my own artwork, or will you design my ad for me?

    As a marketing director for a national retail chain, I receive inquiries all the time. I have to be able to justify every expense, so the more information a vendor can give me, the more likely I may be to sponsor them.

    The reason I suggest using a direct approach vs a letter, is that a letter is just too easy to ignore. Yes, you may get stuck talking to a voicemail, but you can get around that with a simple message:

    "Hello Mr/Mrs So and So. My name is INSERT NAME, and I am calling you on behalf of the NAME OF PAGEANT. I would like to speak to you about a special promotional opportunity that I believe would be perfect for NAME OF THEIR BUSINESS.  It's an ideal opportunity to support your local community and reach parents and families that I know are a key audience for you. I can be reached at (000) 000-0000. That number again is (000) 000-0000. If I do not hear from you before DAY OF WEEK, I  will contact you again soon. Thank you so very much for your time, Mr/Mrs So And So. Have a nice day."

    Be sure to state your phone number slowly - and do it twice. The one thing I hate in responding to voicemail messages, is when callers rush through their phone number. So make it easy for them. Because NO ONE wants to listen to a voicemail message over and over and over again just to write down a phone number.
